Who we are

This privacy policy sets out our statutory requirement to inform you of how we process your information in accordance with the General Data Protection Regulations Act (GDPR). Our website address is: https://afsu.org.

How we collect your information

Information in relation to parents and students will be collected by the Centre Director or by our operations staff. This might be achieved by providing information verbally, whether face to face or by telephone, completion of paper documents or by electronic means such as through email or interaction with our websites.

If any of the personal information provided changes, please notify us as soon as possible in order that the personal information can be updated.

When registered staff members login to our site, we log visitor’s IP address and browser user agent string to help spam detection.

An anonymised string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service Privacy Policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

What type of information is collected?

AfSU requires the following information from our tuition-based students:

  • Name;
  • Address;
  • Contact details;
  • Date of birth;
  • Schooling related information;
  • Gender;
  • Health related information and other information relevant to being able to teach the student most effectively;
  • As the student’s studies progress the centre director will accumulate information in relation to the student’s work and its progression.

The information below we require from parents/guardians:

  • Name;
  • Contact details;
  • Relationship to student;
  • Details of others who are authorised points of contact if a primary contact is not available;
  • Any other information which may be provided, and which is relevant to the education of your child or children.

We may also ask for or receive contextual information about students and/or their parents.  This might, for example, relate to the student’s lifestyle, interests and skills, be about the student’s family including the structure of it and the occupation of the parent(s), any background issues that may be impacting upon the student’s study and whether the student is a native English speaker.

AfSU will not seek any further personal information in relation to parents or students without gaining specific authority.  

AfSU will not take or publish photographs of students or publish students’ names without your consent as the parent/legal guardian.

What purposes will we use your personal information for?

  • to provide the session of tuition;
  • administer our centres;
  • ensure the quality of our programmes;
  • to provide support to our subject tutors;
  • to respond to enquiries about the study offered;
  • to seek feedback about study experiences;
  • to address and communicate about operational issues such as the need to close a class suddenly (for reasons beyond our control);
  • to record and/or report upon the progress of the student;
  • to record and communicate other issues which may be impacting upon the progress of the student;
  • to notify of changes to the Centre;
  • to respond to complaints. 

How long will you keep personal information for?  

AfSU will only retain personal information:

  • For as long as necessary to fulfil the purposes it was collected for as set out in this privacy policy;    
  • Whilst your children are studying at the tuition centre it is necessary for us to retain the personal information. Thereafter we will not normally keep it for longer than 24 months after your children has ceased to attend a tuition centre unless we have a statutory reason to;  

Data Subject Access Request (SAR)

Access – You have a right to request copies of all personal data AfSU holds about you or your child/children. In the event you make a DSAR, AfSU will respond to you within one month of receipt of the request. Where we receive your request in electronic form, your data shall be provided in electronic form (where possible), unless otherwise requested.

Correction – it is important that you keep AfSU up to date with any changes to your personal information. Subject to that you have the right to ask the AfSU to correct or complete any inaccurate or incomplete data held about you or your children.  It is possible that evidence will be required of the new information provided.

Erasure – you are entitled to ask either AfSU to delete or remove personal information held where there is no good reason for us to continue to hold it.  It may not always be possible to comply with your request due to ongoing regulatory or legal obligations in relation to the personal information.  However, where this is the case you will be informed and be told of the reasons why it is not possible to comply with the request.

Object to processing – you may object to AfSU processing your personal information.  There are some circumstances in which it will not be possible to comply with your request, for example if it is necessary to process the information in connection with obligations which the AfSU has, which this policy documents. 

Restriction of processing – you may ask us to suspend processing of your personal information in the following situations:

  • If you want the data accuracy to be established;
  • Where the use of the personal information is unlawful, but you do not want it to be erased;
  • You need the data to be held even though the AfSU no longer require it as you need it to establish, exercise, or defend legal claims; or
  • You have objected to the use of the data by AfSU but AfSU need time to determine whether they have overriding legitimate grounds to process it.

Cookies

If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

Embedded content from other websites

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.

Who we share your data with

If you request a password reset, your IP address will be included in the reset email. Your data may be shared with third parties only to process a statutory requirement imposed on us to do so, or in statistical/numerical data presented to show the efficacy of our programmes.

YouTube

Our website uses plugins from YouTube, which is operated by Google. The operator of the pages is YouTube LLC, 901 Cherry Ave., San Bruno, CA 94066, USA.

If you visit one of our pages featuring a YouTube plugin, a connection to the YouTube servers is established. Here the YouTube server is informed about which of our pages you have visited.

If you’re logged in to your YouTube account, YouTube allows you to associate your browsing behavior directly with your personal profile. You can prevent this by logging out of your YouTube account.

YouTube is used to help make our website appealing. This constitutes a justified interest pursuant to Art. 6 (1) (f) DSGVO.

Google Web Fonts

For uniform representation of fonts, this page uses web fonts provided by Google. When you open a page, your browser loads the required web fonts into your browser cache to display texts and fonts correctly.

For this purpose your browser has to establish a direct connection to Google servers. Google thus becomes aware that our web page was accessed via your IP address. The use of Google Web fonts is done in the interest of a uniform and attractive presentation of our plugin. This constitutes a justified interest pursuant to Art. 6 (1) (f) DSGVO.

If your browser does not support web fonts, a standard font is used by your computer.
